Position Summary

The Columbia University Medical Center Department of Neurology seeks a Variable Hours Officer to support our busy outpatient practice in optimizing our schedule and reducing patient wait time for appointments. This role is ideal for recent college graduates eager to start their careers in healthcare administration. The VHO ensures efficient scheduling of patient visits and procedures, providing excellent customer service and maintaining accurate records. The candidate should be articulate and have excellent interpersonal skills

 

Responsibilities

Patient Scheduling and communication:

Review provider schedules and wait lists for selected divisions and providers daily.
Manage appointment reminders, confirmations, and rescheduling requests
Contact patients to schedule, confirm, and remind them of their appointments
Address patient inquiries regarding scheduling promptly and professionally
Provide patients with necessary information regarding their appointments and any required preparations.
Call patients on the waitlist to schedule vacant slots.
Coordinate with practice staff as well as the verification and authorization teams to confirm availability and optimize schedules
Data Entry and Management:

Responsible person to update, track, and notes on the wait list as needed
Enter and update patient information and appointment details in the electronic health record (EHR) system.
Maintain accurate and up-to-date scheduling records.
Ensure all necessary forms and documents are completed and filed appropriately
Performs other related duties as assigned/required.
Coordination and Collaboration:

Work closely with medical, nursing, and administrative staff to ensure seamless patient care.
Communicate effectively with patients, families, and healthcare providers regarding scheduling issues.
Participate in team meetings and contribute to process improvement initiatives.
Compliance and Confidentiality:

Ensure compliance with HIPAA and other regulatory requirements.
Maintain patient confidentiality and handle sensitive information with care.
Follow organizational policies and procedures for scheduling and patient interactions.
Training and Development:

On-the-job training will be provided.

May require evening, weekend, or holiday hours based on facility needs.
Regular interaction with patients, families, and healthcare staff.
Minimum Qualifications

Bachelor’s degree or equivalent in education and experience.
Preferred Qualifications

Two years of related experience and proficiency in Spanish. The candidate should be highly motivated and have excellent interpersonal skills, ability to multitask, attention to detail, and strong organizational skills. We emphasize the importance of team unity as central to our success. Computer skills are required including proficiency in MS Word, MS Excel, Outlook, Access, and MS PowerPoint.
